Effective 16 October 2026
This policy explains what Apex VCards collects when you visit apexvcards.com, become a member or order a card, why we collect it, and the choices you have. Apex VCards is operated by Apex NFT Card Services, LLC ("Apex", "we", "us"), 5 Brayford Square, London E1 0SG, United Kingdom.
What we collect
- Account details: your name, email address, phone number and password (stored encrypted, never readable by us).
- Billing and shipping details: billing name, address and contact details, and the postal address we mail your card to.
- Payment details: card payments are handled by Stripe and cryptocurrency payments by ForumPay. We receive a payment confirmation and, for cards, the last digits and expiry; we never see or store full card numbers or wallet keys. For crypto payments the transaction is recorded on its public blockchain.
- Your card and web page content: the logo, photos, text, links and contact details you upload or type into the Design Lab and Page Builder.
- Usage information: pages visited, device and browser type, IP address and approximate location, collected through server logs and cookies.
- Messages: anything you send us by email or through the site.
Your public card page is public by design
The details you choose to show on your member web page can be seen by anyone who taps your card, scans your QR code or visits the page address. Only add what you are happy to share publicly. You can change or remove it at any time from your dashboard.
How we use your information
- To create and run your account, membership, card page and Page Builder.
- To design, laser-etch, program and mail your aluminum card.
- To take payment, issue receipts and renew your yearly membership.
- To answer questions, handle returns and replace lost, stolen or damaged cards.
- To keep the service secure and prevent fraud and abuse.
- To send service messages (order updates, renewal reminders, security notices). We only send marketing emails if you agree, and every one has an unsubscribe link.
- To meet legal, tax and accounting obligations.
Legal bases (UK and EU visitors)
We use your information to perform our contract with you (your membership and card order), to meet legal obligations, for our legitimate interests in running and protecting the service, and with your consent where required (for example optional cookies and marketing). You can withdraw consent at any time.
Who we share it with
We do not sell your personal information. We share it only with service providers who help us run Apex VCards, and only as much as they need: our web host, payment processors (Stripe and ForumPay), email delivery providers, postal and courier services, and analytics providers (if you accept analytics cookies). We may also share information if the law requires it, to protect our rights or users, or as part of a sale or reorganisation of our business.
Cookies
We use essential cookies to keep you signed in, protect forms and remember your cookie choice. With your permission we may also use analytics cookies to understand how the site is used. You can change your choice in the cookie banner or your browser settings; blocking essential cookies may stop parts of the site from working.
International transfers
We operate from the United Kingdom and the United States, and our providers may process data in other countries. Where UK or EU data protection law applies, we use recognised safeguards such as standard contractual clauses.
How long we keep it
We keep your account and page content while your membership is active and for up to 24 months after it ends, so you can renew without starting over. Payment and tax records are kept for as long as tax law requires (usually up to 7 years). Artwork files used to etch your card are kept for the life of your membership so we can make replacements. You can ask us to delete your data sooner, subject to those legal requirements.
Your rights
Depending on where you live, you may have the right to access, correct, delete or download your personal information, to object to or restrict how we use it, and to withdraw consent. California residents have the right to know, delete and correct their information and not to be discriminated against for using these rights; we do not sell or share personal information for cross-context advertising. To make a request, email sales@apexvcards.com from your account email. We will reply within one month. UK residents can also complain to the Information Commissioner's Office (ico.org.uk).
Security
We protect your information with encrypted connections (HTTPS), encrypted passwords, access controls and regular backups. No system is perfectly secure, so please use a strong password that you do not use anywhere else, and tell us straight away if you think your account has been accessed by someone else.
Children
Apex VCards is a business service for adults. It is not intended for anyone under 18, and we do not knowingly collect information from children.
Changes to this policy
If we make important changes we will post the new version here with a new effective date and, where appropriate, email members.
